Camp Manager NEW

Job Description:

The Camp Manager will be responsible for overseeing all operational activities related to managing the camp facilities for a project in Greece. As the initial point of contact between construction site activities and the Manila office, the Camp Manager will be critical in ensuring the smooth operation of the camp, while maintaining effective communication between the client and internal teams.

Key Responsibilities:

Establish and Oversee Camp

• Coordinate with suppliers, vendors, and contractors to ensure the timely setup of all essential camp facilities, including accommodations, utilities, dining areas, and recreational amenities.

Communication with Clients

• Serve as the primary contact point for clients regarding camp-related matters.
• Develop and maintain strong relationships with clients to foster a positive working environment, addressing any issues or concerns promptly and effectively.
• Provide regular updates to the client on camp conditions, performance, and other relevant matters to ensure transparency and manage expectations.

Manila Office Liaison

• Act as the Manila office’s contact point for all activities related to camp management.
• Provide frequent reports to the Manila office regarding camp activities, challenges, resource needs, and other operational matters.
• Maintain consistent communication between site operations in Greece and support teams based in Manila, ensuring effective collaboration.

Accommodation Management

• Assign and manage accommodations for all workers in the camp, ensuring living arrangements are comfortable, safe, and conducive to their well-being.
• Develop and enforce an allocation system that ensures fairness and maximizes the efficient use of space.
• Address and resolve any accommodation-related concerns raised by workers, maintaining high standards of safety and comfort.

Team Performance Monitoring

• Oversee and monitor the performance of the EPI team members stationed in Greece, ensuring they adhere to operational standards, policies, and procedures.
• Coordinate with team supervisors and provide necessary support, ensuring that objectives are achieved within the required timeframe.
• Conduct regular performance assessments of the team, offering feedback and coaching where needed to improve overall productivity.

Budget and Expense Management

• Manage camp-related expenses within the allocated budget, ensuring all financial activities align with the budgetary guidelines.
• Track expenses meticulously, identify areas for cost optimization, and generate detailed financial reports for management review.
• Work with finance (Manila Office) to create forecasts and contribute to budget planning processes.

Conflict Resolution

• Address conflicts and grievances arising within the camp, ensuring prompt and fair resolution of issues.
• Collaborate closely with the HR Officer to resolve interpersonal conflicts, employment disputes, or disciplinary matters, maintaining a harmonious environment.
• Implement conflict management strategies to prevent recurring issues, promoting teamwork and positive morale among camp residents.

Health, Safety, and Environmental Compliance

• Ensure compliance with all relevant health, safety, and environmental standards within the camp.
• Develop and implement safety protocols to ensure the well-being of all camp residents.
• Conduct regular inspections of facilities to ensure they are up to the required safety standards and report any maintenance needs promptly.

Operational Efficiency

• Develop and enforce camp rules and policies that ensure the smooth day-to-day running of the camp.
• Identify potential challenges in camp operations and proactively provide solutions, ensuring minimal disruption to project activities.
• Foster a culture of continuous improvement among the team by seeking and implementing new practices that enhance operational efficiency.

Reporting and Documentation

• Maintain comprehensive records related to camp management, including accommodation assignments, performance assessments, expenses, and incident reports.
• Generate and present regular reports to both the client and the Manila office, providing insight into camp operations, challenges faced, and recommendations for improvement.

Job Requirements:

• Bachelor’s degree in Management, BS Degree in Engineering ( Industrial, Civil) or any relate field
• Minimum of 5 years of experience in construction project management or camp management, ideally in a remote site environment.
• Skills:
  • Strong leadership skills with experience in managing multi-disciplinary teams.
  • Excellent communication and interpersonal skills, capable of interacting effectively with both the client and internal teams.
  • Budget management expertise, with experience in tracking and optimizing operational expenses.
  • Ability to resolve conflicts diplomatically, ensuring fair treatment for all parties involved.
  • High level of organization, with the ability to prioritize tasks and manage time efficiently.
  • Proactively identifies issues and implements effective solutions.
  • Capable of leading and motivating a diverse team to achieve operational goals.
  • Ability to maintain positive relationships with clients and address their needs effectively.
  • Ensures all aspects of camp management are conducted to a high standard, with a focus on safety and quality.
  • Demonstrates ethical conduct in all activities, maintaining confidentiality when handling sensitive information.
